Part Time Administrator for theMAC

 

Position Responsibilities:

 

Membership Management: Review membership applications for completeness and follow up with applicant as needed; respond promptly to inquiries from prospective and existing members; prepare member certificates; prepare and send new member and renewal emails (notices and reminders); maintain all records for members; Send out renewal notices and reminders; Run background checks as needed.

 

Financial Management: Monitor payment system for renewal payments/new member payments; Transfer funds from payment system to bank account on last business day of the month; Run reports as needed from payment system (i.e., income, expenses); Ensure that autopay accounts are up to date; Prepare Form 990 and 1099.

 

Board Meetings and Board Support: Assist in preparation and circulate Board meeting agenda and related documents; Attend Board meetings, take notes, prepare minutes and circulate minutes in advance of next Board meeting; Coordinate logistics of and attend annual Board Retreat; support board member activities as requested and approved by the President.

 

Communication: Respond to all external phone and email inquiries promptly and if unavailable to do so, advise back up Board Member; Prepare and send emails including President’s Message, Mediation Matters, Notice of MAC Chats, event announcements, and other notifications/information as requested by the President or authorized Board Member; share pertinent information regarding Mediation community/industry with Board President (or other authorized Board Member); Promote MAC events and news via social media.

 

Event Coordination: Coordinate logistics of and attend Annual Member Meeting per request of board President including notice to members; Attend annual ADR conference, generate new memberships, and Coordinate logistics of ADR cocktail reception; Coordinate planning of other MAC sponsored or attended events per request of Board President.

 

Website Management: Promptly address any issues or problems with website functionality; add informational listings to website; timely renew ancillary accounts; manage email system; make content changes to website as requested by Board President or authorized Board member(s).

 

Miscellaneous: Order supplies; Manage and maintain the MAC records in Dropbox; respond to and implement action items from Board President.

 

Job Type: Part Time

Hours: 30 Hours per month

Compensation package: 1099 Contract

Work Location: Remote
